How to introduce online booking: a practical launch checklist

Prepare services, staff availability and capacity, then test ordinary bookings and awkward edge cases before sharing your booking link.

Define the working rules first

Write down what customers can book, who delivers it and how long it really takes. Separate service time from preparation, cleaning or travel. If the calendar type has no separate buffer setting, account for that time in the schedule.

Individual appointments depend on a provider and a free interval. Group sessions also depend on seats and the maximum party size. A rental depends on the availability of the rented property or resource. Choose the model that matches the offer before entering data.

Create one clear service record

  • Use a name customers recognise and explain what the price includes.
  • Set a realistic duration, price and any restrictions before confirmation.
  • Assign only the staff who actually provide the service.
  • Specify the location and required capacity.
  • Ask only questions needed to prepare the visit.

A hypothetical barber might allow 45 minutes for a haircut and 30 for beard care. A combined service can have its own duration, but it must reflect the work rather than make the calendar appear more available.

Reconcile schedules and existing appointments

Opening hours are not automatically every staff member’s working hours. Check breaks, days off, holidays and service assignments. If three people deliver a service, test each person’s availability.

Include phone and walk-in bookings before launch. Choose one main calendar and make someone responsible for recording changes. Two independently maintained lists can drift apart.

Test five situations

An ordinary available slot

On your own test calendar, complete the customer journey using your test contact: service, provider where offered, time, details and confirmation. Then check the administrative record and the message actually received.

A time that is already occupied

Check that staff or places cannot be booked beyond their real capacity. Label and remove test bookings afterwards.

The end of the working day

The entire service must fit. A free start time is not enough for a 45-minute appointment.

The last place in a group

Test party size and the per-booking limit. One remaining seat must not allow two participants. Use a test event, not real customer capacity.

A change or cancellation

Check how a customer requests a change and who processes it. Test a cancellation link if one is used; otherwise state the contact route clearly.

Share one tested link

Only then add the link to your website and profiles. Try it on a phone outside the administrator account. A booking button should lead to a useful booking journey.

The Fulpio demo lets you inspect services and the time-selection flow without submitting an order. It is a demonstration, not a real business’s appointment ledger.

During the first week, record confusing steps, missing services and incorrect availability. Fix completion blockers first. Link clicks are not completed bookings; do not promise automatic payments or SMS unless those functions are actually configured and verified.
